A Bay is the physical space where the customer plays, while a Bay Option is the type of booking or experience you offer for that bay.
You can create multiple Bay Options depending on what you want to offer at your venue. For example, you can offer a simple Book a session option or create a Bay Option specifically for lessons with a coach.
It’s recommended to create a dedicated Bay Option for members if you offer member-only bookings or benefits. This allows you to manage member bookings separately and apply the appropriate rules, pricing, or availability.
How to Create a Bay Option
- Go to Settings → Bay Options
-
Bay Options can be organized into sections. For example, in the image below, you can see sections for Public Booking and Coaching Sessions, as well as a separate section for options available only to Gold Members. We recommend using sections if you offer multiple Bay Options, as this makes them easier to manage and find.
- Click '+Add Bay Option' under the section where you want to create the new option.
- The new Bay Option will be created within that section.
- The window for creating a new Bay Option will appear.
- At the top of the window, you’ll see four sections: General, Players, Pricing, and Additional Settings.
- The mandatory fields required to create a Bay Option are Name, Type, Image, and Player Options. After adjusting the details of your Bay Option, make sure that no fields are highlighted in red.
- Once all required information has been completed, you can create the Bay Option.
After creating the Bay Option, don’t forget to assign it to the relevant Bay Group. Otherwise, it won’t be visible to your customers. For more information, see Bay Configuration | Assigning Bay Options To Bay Groups🎦.
General
In the General section, you can configure the basic settings for your Bay Option.
- Name: Enter the name you want your customers to see.
- Image: Add an image for the Bay Option.
- Group: If you want to create a new section for this Bay Option, enter the name of the new group.
An important setting is the Booking Duration. Please note that whether you choose Fixed Duration or Slot Based must be compatible with the selected Customer Booking Experience: Classic View or Calendar View.
Players
In the Players section, you have to set the minimum and maximum number of players allowed for the Bay Option. You also need to select the Player Options available for this particular Bay Option.
- Note: You cannot create Player Options directly from the Bay Option. To create and manage Player Options, go to Settings → Player Options.
If you include paid Player Options, you also need to choose how the player price is calculated:
- Fixed Player Option Pricing: The price remains the same regardless of the booking duration. For example, if the Player Option costs $5, the customer pays $5 whether they book for 30 minutes or 3 hours.
- Slot-Based Player Option Pricing: The price is added for each time slot. For example, if the Player Option costs $5 per 30 minutes, a 30-minute booking adds $5, a 60-minute booking adds $10, and a 3-hour booking adds $30.
Pricing
The third section is Pricing, where you decide how much to charge customers for booking this Bay Option.
The Pricing section varies depending on the Booking Duration selected in the General section. The pricing setup works differently for Slot-Based and Fixed Duration Bay Options.
- If you choose Calendar View and set the Bay Option to Slot-Based, enter the price for each 30-minute slot in Slot Base Price.
- Please note that the system is designed to work with 30-minute slots. However, you can set a minimum booking duration of 60 minutes or more, and the total price will adjust accordingly.
- You can also use Pricing Schedules to adjust prices based on peak and off-peak hours or to set different prices for different seasons. Pricing Schedules also use 30-minute slots.
- If you choose Classic View and set the Bay Option to Fixed Duration, enter the Base Price for the booking.
- This is the price charged regardless of the booking duration and before any add-ons, such as booking extras or paid Player Options.
- You can also use Pricing Schedules to set different prices throughout the week.
Additional Settings
In Additional Settings, you can configure the following options:
- Tax Flags: Add tax flags if taxes apply to this Bay Option.
- Restriction Flags: Add restriction flags if you want to limit when or how this Bay Option can be booked.
- Member Discount Flags: Add member discount flags if you want eligible members to receive a discount on this Bay Option.
You’ll also find Membership Requirements. This is where you can add Standard Perks if you want the Bay Option to be available only to specific members.
Note: Only add Standard Perks if this Bay Option is intended for specific membership types. For more information about Standard Perks, see Memberships | How to Create a Standard Perk
