B&P | Understanding your Purchase, Payment, and Payout reports

Trackman Booking & payments includes three reports that all involve money — but they answer different questions. Use this guide to know which one to open.

Think of them in this order:

  1. Purchase report (what was sold) | Open it when you want to know: “What did customers buy?”
  2. Payments report (how customers paid) | Open it when you want to know: “How was it paid, refunded, or failed?”
  3. Payouts report (what landed in your bank) | Open it when you want to know: “Why did this amount hit our account?”

Totals for the same day often won’t match across these reports. That’s normal. They look at different things (what was sold vs how it was paid vs what was paid out to you).

 

Purchase report

What it’s for: Seeing what you sold — products, bookings, memberships, gift cards, and more — broken down by category.

What you’ll see:

  • Sales by category (with count, total value, and averages)
  • Charts over the date range you choose
  • Option to export a spreadsheet
  • At multi-site venues: this venue only, or all venues

Good for:

  • Checking how bay time, F&B, or retail performed
  • Understanding what customers bought

Not good for:

  • Checking if a card payment went through → use the Payments report
  • Explaining a bank deposit → use the Payouts report

Tips:

  • Focus on paid sales when you’re looking at real revenue activity
  • One order (purchase) can be paid with more than one payment
  • This is different from the Basic Booking report, which is mainly about bookings

Payments report

What it’s for: Seeing how money was taken — by payment type — including refunds.

What you’ll see:

  • Totals by payment type (for example card online, terminal, payment link, cash, and other types your venue uses)
  • Counts and amounts over time
  • Refunds listed clearly
  • Option to export a spreadsheet
  • At multi-site venues: this venue only, or all venues where available

For individual payment details, use the Payments Browser. The Payments report is better for totals and exports over a period.

Good for:

  • “A customer says they paid — what do we show?”
  • Looking at refunds
  • Seeing how much came in by payment type

Not good for:

  • Seeing which products were sold → use the Purchase report
  • Matching a bank deposit → use the Payouts report

The total in the Payments report is not the same as the money in your bank. Fees, refunds, and chargebacks still affect what you actually receive.

 

Payouts report (rolling out)

What it’s for: Explaining what was paid out to your venue’s bank for a closed period — payments in, fees and adjustments out, and what’s left as the payout.

This report is about your venue’s bank payout. It is not about paying money out to a customer or player.

What you’ll see (when the report is available for your venue):

  • A payout calculation — money taken, costs, other deductions, and the net payout
  • Which purchases were included in that payout
  • Transactions left out of the payout (so they don’t look “missing”), such as cash, customer account balance / gift card credit, other payment providers, or incomplete card payments

Typical parts of the calculation:

  • Payments taken — card payments processed through Trackman (for example online, in person / terminal, payment link, and saved-card / automatic payments), plus refunds
  • Costs — processing fees, refund fees, and Trackman reservation / service fees
  • Other deductions — chargebacks (and related fees), manual adjustments, and other deductions taken from the payout when they apply
  • Tax collected — shown for information; it is not added into the net payout
  • Net payouts — the amount the payout is based on (use this when checking against your bank)

Good for:

  • “Our bank shows this amount — how does that break down in Trackman?”
  • Understanding fees and chargebacks on a payout

Not good for:

  • Day-to-day “what did we sell?” → Purchase report
  • “Why did this card fail?” → Payments report

Before you use it

The Payouts report is still rolling out, so it may not appear for every venue yet. When it is available:

  • It applies to venues using Trackman card payments (Adyen). Venues on other payment setups won’t see this report — that doesn’t mean something is broken.
  • You can only look at dates from 1 May 2026 onwards
  • You can select up to about one month at a time
  • Use finished (closed) days — “today” often won’t have a completed payout period yet, so the report can look empty
  • At multi-site organisations, look at one venue at a time
  • Check the payout status (for example processing vs paid) — the money isn’t in your bank until the payout is complete

Why numbers can differ from the other reports: 

A sale counts towards a payout based on when the card payment was authorised, in your venue’s timezone — not always the same moment the order was created. That’s a common reason “today” looks different across reports.

 

Quick guide: which report?

What did we sell? = Purchase report

How did customers pay / get refunded? = Payments report

Why did this amount arrive in our bank? = Payouts report

 

Common mix-ups

  • Sales are not the same as payouts. What you sold isn’t automatically what hit your bank after fees and refunds.
  • Payment totals are not the same as bank deposits. Fees, refunds, and chargebacks still come out.
  • Left out of a payout doesn’t mean lost. Cash and similar payments are listed separately because they don’t go through the Trackman bank payout.
  • This payout report is not a customer payout. It’s about money settling to your venue.
