Set Up A Guest Player Option
In Booking & Payments, you can set up a variety of player options. Some can be free of charge, while others can have an associated fee. Player options are the best way to charge customers or members for bringing guests with them.
To set up guest player options, follow the steps below:
- Navigate to Settings → Player Options.
Create a new player option and assign a price to it.
- Go to Bay Options.
- Select the desired bay option and open the Players tab.
Add the paid guest player option.
- Choose how you want to charge for the player option. You have two options:
- Fixed Player Option Pricing – The player option price is charged once per booking.
Slot-Based Player Option Pricing – The player option price is charged per 30-minute slot. For example, if the player option costs $5 and the booking duration is 1 hour, the guest charge will be $10.
Set Up A Guest As A Booking Extra
Booking Extras provide a flexible way to charge for guests without overcharging. In the new slot-based bay booking interface in Booking & Payments, pricing is calculated per slot. This means that if you apply a player-based fee, it will be multiplied by the number of slots, which can unintentionally increase the total cost when adding guests.
To avoid this, you can use the feature to apply a flat guest fee per booking, regardless of how many slots are selected.
- Go to "Settings" > "Booking Extras"
- This is where you manage all additional charges that can be added to a booking.
- This is where you manage all additional charges that can be added to a booking.
- Create A New Group
- Click "Create New Group"
- Name the group something clear, like "Guest"
- This helps organize your extras and makes them easier to manage
- Add a product to the group
- Create a product and add it within the Guest group:
- Name the product (e.g. "Guest Fee" or "Additional Player")
- Set a flat price
- Link the Extra to a Bay Option
- Create a Flag and add it to associate this extra with a specific Bay Option (do the same in the Bay Option in "Additional Settings")
This ensures the guest fee only appears when that bay type is selected (e.g. for standard bays but not for coaching bays)
- Save the Group and Product
- Once saved, the guest fee will appear during the booking process and apply correctly - once per booking, not per slot.
