The GolfNow integration allows customers to book sessions at your venue directly through the GolfNow platform. However, the integration only works with properly configured Bay Options in YourGolfBooking (YGB). This guide explains how the integration functions and outlines the setup steps to ensure it works smoothly.

How the Integration Works

Please note that the integration currently only works with Bay Options.

Once you've decided to list your venue on GolfNow, you’ll need to contact GolfNow directly to begin the onboarding process.

Here’s how the integration functions:

  • Customers browsing GolfNow will be able to book sessions at your venue.
  • When a booking is initiated, GolfNow sends a request to YourGolfBooking (YGB).
  • YGB checks which time slots are available and responds with availability.
  • Just before the booking is confirmed, YGB performs a final availability check to prevent double bookings.

Setup Recommendations

To ensure smooth and successful integration, follow these setup steps carefully:

  1. Create a Dedicated Bay Option for GolfNow
    • The integration supports only one bay option.
    • We strongly recommend creating a new, admin-only bay option solely for GolfNow bookings.
    • This avoids confusion with other bookings and ensures smooth tracking.
    • Make sure to add this bay option to the bay groups (range).

  2. Slot Type Compatibility
    • The bay option can be set up as either Slot-Based or Fixed Duration.
    • Both types are fully supported by the integration.

  3. Time Slot Interval Setting
    • The integration supports 30-minute or 60-minute time intervals.
    • You must ensure your bay option uses the same interval as the GolfNow integration.
    • Note: Do not set up a 30-minute bay option if the integration is configured for 60-minute intervals—this will cause booking errors.

  4. Use a Pricing Schedule (No Restrictions)
    • Do not use availability restrictions on the bay option itself.
    • All availability and pricing should be managed through the Pricing Schedule.
    • This makes it easier to define peak and off-peak pricing.

  5.  Add a Single Player Option
    • Add only one player option labelled "Player".
    • GolfNow users cannot select different player types, but they can choose the number of players during the booking process.

Important: Setup Accuracy

    • If the bay option is not set up correctly, GolfNow will return an error message, and the customer will be unable to complete the booking.
    • Bookings coming from GolfNow will appear in your system as "Anonymous."
    • Whether the booking is paid or unpaid is determined by GolfNow, not through your integration settings.
    • If a booking was paid on GolfNow and later cancelled via GolfNow, YGB will display the payment as refunded automatically based on the update we receive.
